Job Description :

The HR & Administration Officer is responsible for supporting day-to-day HR functions and administrative operations. The role ensures effective coordination of human resources processes, staff welfare programs, employee relations issues, and efficient office administration.

Key Performance Areas

Administrative Roles % Weighting: 30%

  • Coordinate and schedule internal meetings, ensuring no double bookings.
  • Oversee the maintenance, cleanliness, and overall condition of the Boardroom and Head Office facilities, ensuring optimal working conditions.
  • Manage kitchen operations and staff meals in collaboration with support staff.
  • Coordinate Board of Directors (BOD) meetings and assist in executing directives in consultation with the Head of HR & Admin.
  • Manage Sacco fleet operations by ensuring timely vehicle maintenance, trip planning, and coordination with company drivers.
  • Maintain updated records for Sacco vehicle logbooks and prepare monthly usage reports.
  • Receive and verify staff mileage claims for accuracy and process them for approval.

HR Roles % Weighting: 70%

  • Develop and coordinate orientation programs for new hires and participate in onboarding sessions.
  • Conduct training needs assessments, compile findings, and support the development of the annual training calendar in line with the training budget.
  • Schedule and monitor training sessions, ensuring all are NITA-approved and facilitate timely reimbursement processes with NITA.
  • Organize annual staff team-building events in liaison with the Head of HR & Admin.
  • Oversee the performance management cycle in accordance with the Performance Management System (PMS) policy and submit quarterly reports.
  • Maintain comprehensive and updated employee records in both physical and digital formats.
  • Assist in preparing monthly payroll, ensuring accuracy and compliance with established processes.
  • Review and appraise staff loan applications in accordance with internal policy.
  • Support leave management processes and coordinate relievers with the operations department to ensure continuity.
  • Ensure compliance with the Data Protection Act, AML (Anti-Money Laundering), and KYC (Know Your Customer) policies in all HR and administrative processes.
  • Provide support in handling employee relations matters, including conflict resolution, disciplinary processes, and grievance handling, in accordance with company policies and labor laws.
  • Maintain confidential records of all employee relations issues and outcomes.
  • Advise staff on HR policies, practices, and their rights and responsibilities.
  • Monitor workplace culture and morale and escalate concerns to the Head of HR & Admin as needed.
  • Support the implementation of employee engagement initiatives and wellness programs.
  • Perform any other duties as assigned by the Head of HR & Administration.

Ideal Job Holder Specifications

Academic Qualifications

  • Holds a Bachelor’s degree in Human Resource Management.

Professional Qualifications

  • Holder of CHRP or National Higher Diploma in HRM (mandatory).
  • Membership with the Institute of Human Resource Management is an added advantage.

Desired Work Experience

  • At least 3 years of working experience in HR, preferably in a financial institution.
