Job Description :
Key Responsibilities:
- Manage the Director’s calendar, schedule meetings, and coordinate appointments with internal and external stakeholders.
- Screen and prioritize incoming correspondence, email, and phone calls; determine the appropriate course of action, referral, or response.
- Draft and edit correspondence, communications, presentations, and other documents on behalf of the Director.
- Organize and maintain confidential files and records, ensuring accuracy and security of sensitive information.
- Prepare agendas, take minutes, and follow up on action items for meetings chaired by the Director.
- Coordinate complex travel arrangements, including itineraries, accommodations, and logistics.
- Liaise with senior management, department heads, clients, and external partners on behalf of the Director.
- Monitor and track deadlines and projects to ensure timely execution and completion.
- Handle confidential information with integrity and discretion.
- Perform other administrative tasks and special assignments as delegated by the Director.
Qualifications and Skills:
- Bachelor's degree in Business Administration, Secretarial Studies, or a related field.
- Proven experience as an executive assistant, personal assistant, or in a similar administrative role supporting senior executives.
- Strong organizational, planning, and time management skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- High level of discretion, integrity, and professionalism in handling sensitive information.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently, anticipate needs, and proactively solve problems.
