Job Description :

The Executive Assistant is responsible for providing high-level executive administrative support to the Director. This position acts as the primary point of contact for internal and external communications concerning the Office of the Director. The role requires handling sensitive and complex issues with professionalism, discretion, and sound judgment, and proactively taking initiative in the Director’s absence.


Key Responsibilities:

  • Manage the Director’s calendar, schedule meetings, and coordinate appointments with internal and external stakeholders.
  • Screen and prioritize incoming correspondence, email, and phone calls; determine the appropriate course of action, referral, or response.
  • Draft and edit correspondence, communications, presentations, and other documents on behalf of the Director.
  • Organize and maintain confidential files and records, ensuring accuracy and security of sensitive information.
  • Prepare agendas, take minutes, and follow up on action items for meetings chaired by the Director.
  • Coordinate complex travel arrangements, including itineraries, accommodations, and logistics.
  • Liaise with senior management, department heads, clients, and external partners on behalf of the Director.
  • Monitor and track deadlines and projects to ensure timely execution and completion.
  • Handle confidential information with integrity and discretion.
  • Perform other administrative tasks and special assignments as delegated by the Director.

Qualifications and Skills:

  • Bachelor's degree in Business Administration, Secretarial Studies, or a related field.
  • Proven experience as an executive assistant, personal assistant, or in a similar administrative role supporting senior executives.
  • Strong organizational, planning, and time management skills with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • High level of discretion, integrity, and professionalism in handling sensitive information.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently, anticipate needs, and proactively solve problems.
